Group Terms & Conditions

GROUP TERMS AND CONDITIONS:

• These Group Terms and Conditions apply in addition to the general Sunwing Vacations Terms and Conditions stated in the Sunwing Vacations brochure (www.sunwing.ca/terms&conditions.asp). If there is found to be an inconsistency between the terms of such general Terms and Conditions and the following Group Terms and Conditions, then the latter shall prevail.
• Group booking details such as departure dates, duration(s), gateway(s), destination(s), passengers/room counts, room categories, prices, payment schedule, and Early Booking Bonuses are found in the INVOICE/GROUP BOOKING and any amendments thereto (the “Contract”).
• Prices are guaranteed only for the Group members for whom a deposit has been made and whose names appear on this Contract. Clients wishing to be added to the Group hereafter may be subject to price increases including matters over which Sunwing Vacations has no control, inclusive of, but not limited to fuel surcharges, government and other taxes or fees and currency fluctuations.
• We reserve the right to cancel group space if you fail to comply with the payment terms or other requirements outlined in this Contract. In the event that we cancel, penalties as outlined in this Contract would still apply.
• E-documents are released approximately 28 days prior to the group’s scheduled departure provided all names, birthdates and payments as well as a signed copy of this contract have been received in our office. Should any of the required information not be received, the release of documents will be delayed.
• Detailed passenger rooming list specifying special requests, which cannot be guaranteed, is required in our office at least 60 days prior to departure to ensure that rooms are secure and that documentation can be completed.
• Full passenger names may be required at any point prior to departure; failure to provide names within 48 hours of the request for them may result in cancellation of your group and cancellation penalties as outlined in this Contract would still apply.
• It is solely the responsibility of the client to ensure that valid and proper documentation is obtained. Failure to provide valid documentation may result in denied boarding of the aircraft and cancellation of your flight arrangements without refund.
• Sunwing Vacations reserves the right to release contracted or chartered seats that are not committed to with a deposit or with full payment, as applicable, per the payment schedule. Should group seats booked be cancelled under any terms, including airport no shows, the seats will be returned to inventory and Sunwing Vacations reserves the right to sell the seats and no refund will be issued for unused seats or seats resold.
• Specific room requests such as for bedding, location, adjoining/connecting rooms are subject to approval by our hotel suppliers and cannot be guaranteed. Sunwing Vacations will not assume responsibility should requests be denied.
